What should I confirm before arranging an airport transfer?

The short answer

Send one complete brief covering your flight, every passenger, every bag, any mobility aid and the exact destination entrance. Accept the transfer only when the vehicle fit, meeting point, delay terms, assistance handover and total price are all in writing.

Describe the party and luggage together

Give the airport, flight number, arrival date and scheduled local time, then list the adults, children and all luggage. Name large pushchairs, skis, bicycles, wheelchairs and other mobility aids separately, with folded dimensions where space may be tight. Request any child seat or vehicle-entry arrangement at the same time.

For example, “three adults, three large cases and one folding wheelchair” asks a much better question than “vehicle for three”. A seat count does not prove that people and equipment fit together. Ask the transfer company to confirm the vehicle arrangement and say what happens if it substitutes another vehicle.

If a traveller must remain in their wheelchair, needs a hoist, cannot use a standard car seat or needs help transferring, describe that requirement directly. The operator should confirm the actual boarding arrangement, restraint system and luggage capacity for the vehicle it will send.

Join airport assistance to the vehicle

At Sarajevo Airport, passengers who need reduced-mobility assistance should notify their airline or travel agent at least 48 hours before the scheduled departure time. The airport’s PRM guidance describes arrival assistance from the aircraft to the next transport point on the public side of the airport.

That boundary matters. Airport assistance does not select, book or establish suitability of the vehicle that takes you into Sarajevo. Give the transfer company the agreed public-side handover point and make sure it can meet the traveller there. If the traveller needs help from the airport wheelchair into the vehicle, state who will provide it and what transfer method has been agreed.

Use the assistance category that reflects whether the traveller can manage aircraft steps and move to a cabin seat. Give the airline the mobility-aid details it requests. Give the transfer company only the information it needs to provide the onward journey safely.

Agree the meeting and destination points

Confirm whether the driver waits inside arrivals, at a named public-side point or outside at a collection lane. Ask how the passenger will identify the driver and which number works if either party cannot find the other. “At the airport” is not a meeting point.

At the other end, give the property’s exact entrance or agreed drop-off point. In Sarajevo’s older streets, a postal address may not be the place where a vehicle can stop. For a rural stay, there may be an unpaved approach or a final section that the booked vehicle will not use. Confirm where the ride ends, how far remains to the door and who handles the luggage.

For a departure transfer, agree the collection entrance and local time. Work backwards from the airline’s check-in requirement and allow for loading, traffic and the traveller’s airport assistance process.

Get one complete price and delay policy

Request a dated quote for the named party, luggage, vehicle and complete route. It should say whether the price includes child seats, waiting, parking, tolls, a late-night supplement and any rural or out-of-area final leg. Confirm the currency, payment method and cancellation terms.

Ask whether the driver monitors the flight, how much waiting is included, when extra waiting begins and what happens after a diversion, cancellation or missed connection. A monitored flight can help with a normal delay, but it is not the same as unlimited waiting or automatic rebooking.
